This guide walks through a first session in FuelRouteX: signing in, setting fleet rules, connecting your ELD, loading prices and importing purchases.
1. Get Access
FuelRouteX accounts are set up with our team. Email sales@fuelroutex.com and we will create your organization, add your subsidiaries and invite your first admin.
2. Your Admin Invites You
Everyone else is invited by a tenant admin in your organization. Check your email for an invitation from our sign-in provider and accept it within 7 days. Accepting creates your account, or links the one you already have, and adds you to the organization with the role your admin chose. If the invitation has expired, ask your admin to resend it.
Then sign in at dev.fuelroutex.com/sign-in. If you belong to more than one organization, use the organization switcher to move between them.
3. Set Fleet Rules
Open Settings → Fleet Rules. These defaults fill in whatever your ELD or truck records do not provide:
- Reserve: fuel held back from range estimates as a safety buffer (10% by default).
- Default Tank Size: used when a truck has no tank size of its own (100 gallons by default).
- Default MPG: used when a truck has no fuel economy set. Leave it empty to use the platform fallback of 6.5 MPG.
Per-truck MPG and tank size can be set on the Fleet page (Edit Inputs on a truck), where you can also add vehicles by hand if they are not coming from an ELD.
4. Connect Your ELD
In Settings → Integrations, connect your ELD for each subsidiary. Samsara is supported today and connects with a Samsara API token. Vehicles, GPS positions and fuel levels start syncing right away. See ELD Integration for the token scopes and sync options.
5. Choose Pricing and Upload Contract Prices
In Settings → Pricing, choose the pricing mode (Contract, Retail, or Contract and Retail), the fuel type, the search radius and the maximum number of stations to consider. Then upload your supplier price sheets under Contract Price Sheets. See Contract Prices for supported files and columns.
6. Import Fuel Purchases
On the Purchases page, choose Import Purchases and upload a fuel card transaction export. Purchases power spend reporting and the savings audit. See Purchases Import for the file format.
7. Use It Every Day
- Dashboard: Low Fuel and Critical counts, the live fleet map, the Fuel Watch list sorted by urgency, and the estimated savings available across trucks that need fuel.
- Fleet: every truck with fuel level, range, status and its recommended stop, with filters by fuel band.
- Savings: monthly potential savings, opportunities, audited spend and average price per gallon. See Savings.
8. Add Your Team
Each user has a role that controls what they can see and change. If you are a tenant admin, invite your teammates from Settings → Office Users:
- Invite each person by email address and pick a role: Tenant Admin, Dispatcher, Accounting or Viewer.
- They receive an email invitation that expires after 7 days. You can resend or revoke it while it is pending.
- Later you can change a user's role, deactivate or reactivate them, or remove them from your organization.
See Roles and Security for what each role can do.
